Privacy

This explains what we collect when you order from us, why we hold it, and what you can ask us to do about it. It’s written to be read rather than to be impressive.

Who we are

Vital Bowl is the data controller for the information described here. We cook and sell prepared food bowls for collection from The Courtyard, St. Mary's Chare, Hexham, NE46 1NH.

What we collect

  • Your name, email address and phone number, which you give to Stripe when you pay.
  • What you ordered, which days, and which week it was for.
  • Anything you write in the notes box when you order.
  • For weekly plans, the fact that you have one and what it currently contains.

We never see or store your card number. Card details go straight to Stripe, who are authorised to handle them and who we could not do this without.

Allergy information

If you tell us about an allergy or intolerance, that is information about your health, and the law treats it as more sensitive than the rest. We ask for it so we can keep you safe, and we use it only for that.

We rely on your explicit consent, given when you choose to write it in the notes box. You don’t have to tell us. If you’d rather it wasn’t written down, email or speak to us at collection instead, and we’ll keep it out of the record.

Why we’re allowed to hold it

  • To perform our contract with you — we cannot cook or hand over an order without knowing who it belongs to and what it is.
  • To meet our legal obligations — HMRC requires us to keep records of sales, and food safety law requires us to be able to trace what we sold and to whom if something goes wrong.
  • Your explicit consent, for allergy information only.

Who else sees it

We use a small number of suppliers, and none of them sell your information.

  • Stripe takes the payment and holds your contact and card details. They are the source of the name, email and phone number we see.
  • Neon stores our order records, on servers in London.
  • Vercel hosts this website.
  • Google provides our email, so anything you email us sits in a Gmail inbox.

Some of these companies are based outside the UK. Where your information leaves the UK, it is protected by the safeguards those providers have in place for international transfers.

How long we keep it

  • Order and payment records: six years, because tax law requires it.
  • Allergy notes: kept alongside the order they belong to, and removed on request.
  • Weekly plan details: for as long as your plan runs, and then with the order records above.

Your rights

You can ask us to:

  • show you what we hold about you
  • correct anything wrong
  • delete it, where we are not required to keep it
  • stop using it for a particular purpose
  • send it to you, or to someone else, in a portable form

Email thevitalbowl@gmail.com and we’ll respond within a month. If we get it wrong, you can complain to the Information Commissioner’s Office at ico.org.uk, though we’d rather you told us first so we can fix it.

Cookies

This site sets no advertising or analytics cookies. Stripe sets its own during checkout to process your payment and detect fraud, which is necessary for the payment to work at all.

Changes

If we change how any of this works, we’ll change this page and update the date at the top. If the change is significant and affects a weekly plan, we’ll email you.
